Administrative Support Specialist
Job Summary
Our client, a leader in agricultural R&D and innovation, is seeking a highly organized and adaptable Administrative Support Specialist to provide administrative documentation, reporting, coordination, and records support for Import/Export Operations. This role serves different areas of the business and requires someone who can manage recurring tasks, shift priorities as needs change, support internal stakeholders, maintain organized files and records, assist with reporting and reconciliations and help drive process consistency with accuracy, sound judgment, and strong follow-through.
This position is W-2 only. We do not work with third-party firms or C2C arrangements for this role.

Core Responsibilities
- Provide flexible day-to-day administrative support for multiple teams across import/export operations and related business areas
- Maintain, organize, scan, upload, retrieve, and file trade and compliance documentation, including field inspection records, foreign phytosanitary certificates, and other required import/export documents
- Support import and export file creation and maintenance to help ensure files are complete, organized, and audit ready
- Conduct import and export file reviews to confirm required documentation is present and properly maintained
- Assist with debit and credit processes, duty drawback files, freight payment support, customs payment items, and related administrative documentation
- Perform administrative reconciliations for international shipments, including financial, duty drawback, and customs payment-related items
- Run weekly and monthly reports for management and provide basic reporting, tracking, and analytical support for team initiatives
- Support import and export freight payment activities, including collecting data from SAP and assisting with freight bill coding
- Provide seasonal import and export campaign support by adjusting priorities and assisting with time-sensitive business needs
- Administer and monitor team mailboxes by reviewing incoming messages, routing requests, tracking follow-up items, and helping ensure timely responses
- Perform other administrative duties, coordination tasks, and business support activities as assigned
Required Skills/Experience (Must-Haves)
- High school diploma or equivalent required; associate degree or related administrative training preferred
- Administrative, clerical, operations support, documentation, customer service, or related business support experience
- Strong organizational skills with the ability to manage multiple tasks, deadlines, and priorities across different workstreams
- High attention to detail and accuracy when handling documentation, reports, records, and follow-up items
- Ability to work independently with minimal supervision while knowing when to escalate questions or issues
- Strong written and verbal communication skills with the ability to interact professionally with internal stakeholders
- Proficiency with Microsoft Office tools, including Outlook, Excel, Word, Teams, and SharePoint
- Ability to learn and use internal systems and processes, including SAP, document management tools, and team mailbox workflows
- Comfortable supporting a flexible administrative role where priorities may shift based on business needs
- Accounting Principles familiarity for records reconciliations
Preferred Skills/Experience (Nice-to-Haves)
- Experience supporting import/export, logistics, supply chain, trade compliance, finance, or other operational business functions
- Experience maintaining records, SharePoint sites, shared mailboxes, or team documentation repositories
- Basic experience with reporting, data entry, reconciliations, or spreadsheet tracking
- Ability to identify process gaps, organize information, and recommend practical administrative improvements

Compensation & Benefits
- Pay Range: The approximate pay range for this position is $38,000 and $55,000. Please note that the pay range provided is a good faith estimate. Final compensation may vary based on factors including but not limited to background, knowledge, skills, and location. We comply with local wage minimums.
