Administrative Assistant
Job Summary
Our client, an energy and utilities provider, is looking for Administrative Assistant. This person will be responsible for maintaining accurate employee timekeeping records, ensuring payroll-related data is entered and validated in a timely manner, and supporting compliance with company policies and labor requirements for over 100+ employees. The role also provides administrative support by coordinating schedules, preparing reports, organizing documents, managing communications, and assisting leaders and employees with day-to-day operational needs.
Core Responsibilities
- Maintain accurate employee timekeeping records and ensure timely entry and validation of payroll-related data for a workforce of 100+ employees
- Support compliance with company policies, labor agreements, and timekeeping requirements
- Coordinate schedules, meetings, and administrative activities for leaders and team members
- Prepare reports, maintain records, and organize departmental documentation
- Serve as a point of contact for employee inquiries and provide day-to-day administrative support to leadership and operational teams
Required Skills/Experience (Must-Haves)
- High School Diploma or equivalent required
- Experience managing employee timekeeping, payroll data entry, and attendance records for large employee populations
- Union timekeeping experience and knowledge of Collective Bargaining Agreements (CBAs)
- Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook
- Experience utilizing SAP or similar enterprise resource planning (ERP) systems
Preferred Qualifications
- Prior experience in the energy, utilities, manufacturing, or other unionized environments
- Knowledge of payroll processes, labor compliance requirements, and workforce administration
- Experience supporting managers, supervisors, or operational leadership teams
- Familiarity with reporting, data validation, and recordkeeping processes
- Associate degree in Business Administration, Human Resources, or a related field

Work Environment

- Onsite – 5 days a week
- Working hours - 5:15 AM – 2:15 PM
Compensation & Benefits
- Pay Range: The approximate pay range for this position is between $24.00 and $35.00. Please note that the pay range provided is a good faith estimate. Final compensation may vary based on factors including but not limited to background, knowledge, skills, and location. We comply with local wage minimums.
