Production Coordinator
Job Summary
Our client, a leading financial services organization, is seeking a Production Coordinator to support direct mail, print production, stationery ordering, and warehousing operations within the Client Growth & Retention organization.
This position is W-2 only. We do not work with third-party firms or C2C arrangements for this role.
Contract Details
- Contract: 12-month contract
- Location: New York, NY or Tampa, FL
- Schedule: Hybrid preferred (Tuesday through Thursday onsite, Monday and Friday remote)
- Remote Consideration: EST-based remote candidates will be considered
- Hours: 37.5-hour work week
Core Responsibilities
- Coordinate multiple direct mail, print, and stationery campaigns simultaneously while ensuring deadlines and delivery expectations are met
- Review artwork, vendor proofs, data files, variable data programming instructions, and production materials to maintain quality standards and prevent production errors
- Prepare job estimates, evaluate costs, recommend vendors, manage purchase orders, reconcile invoices, and support financial tracking activities
- Serve as a liaison for compliance-related requirements associated with marketing and production initiatives
- Monitor inventory levels and manage warehousing activities to ensure uninterrupted availability of materials and supplies
- Partner with print, direct mail, and stationery vendors to ensure quality, timely delivery, and adherence to project expectations
- Support vendor contract administration and Statements of Work (SOWs) in collaboration with sourcing, procurement, and business stakeholders
- Develop subject matter expertise on supported platforms, document operational processes, and contribute to reporting and workflow improvements
Required Skills/Experience (Must-Haves)
- Bachelor's degree
- 3+ years of professional experience in production coordination, project coordination, operations, marketing production, or related fields
- Strong project management, process management, and organizational skills
- Exceptional attention to detail with strong proofreading and quality control capabilities
- Experience managing multiple projects and deadlines simultaneously
- Strong analytical skills with the ability to validate data and support variable data production workflows
- Experience supporting financial processes such as estimates, purchase orders, invoicing, or budget tracking
- Excellent verbal and written communication skills
- Demonstrated problem-solving ability and proactive approach to issue resolution
Preferred Skills/Experience (Nice-to-Haves)
- Direct mail production experience
- Print production coordination experience
- Vendor management experience
- Inventory management or warehousing experience
- Experience with Adobe Workfront, Ariba, Microsoft Office, or similar workflow and procurement platforms
- Experience supporting compliance-related processes
- Experience within insurance, financial services, or other regulated industries
- Familiarity with AI tools and workflow automation technologies

- Primary Locations: Tampa, FL (preferred) or New York, NY

Compensation & Benefits
- Pay Range: The approximate pay range for this position is between $25.00 and $36.00 per hour. Please note that the pay range provided is a good faith estimate. Final compensation may vary based on factors including but not limited to background, knowledge, skills, and location. We comply with local wage minimums.
