Job Summary
Our client, a leading media & entertainment provider, is seeking an Office Coordinator. This candidate will be assisting in cast member move-in and must be patient and willing to assist as needed. There will be some shifting of furniture and any assistance with monitors and VTC equipment and showing the flexibility to assist is important. This person will manage office services day-to-day responsibilities (i.e. building access, equipment maintenance, custodial and general facility readiness, supply and equipment ordering and availability, workstation reservation tool SME) along with offices related projects (i.e. space growth, equipment replacement, facility enhancement, etc.). This position reports to the Manager, Office Services & Work Flexibility Planning.

This person will manage office services day-to-day responsibilities (i.e. building access, equipment maintenance, custodial and general facility readiness, supply and equipment ordering and availability, workstation reservation tool SME) along with offices related projects (i.e. space growth, equipment replacement, facility enhancement, etc.). This position reports to the Manager, Office Services & Work Flexibility Planning.
Core Responsibilities
- Provide office services support and coordination for internal clients such as assistance with custodial, maintenance, technology, workstation/furniture, general facility, and asset access in addition to comprehensive campus knowledge
- Meet with vendors to obtain proposals for renovation projects, manage project progress, and schedule
- Key contact with vendors and clients during business and after hours as some projects need to be scheduled after hours to minimize disruption to Cast
- Create and process purchase orders for projects and reoccurring services via SAP, utility bill and PO payment, ZAP invoice uploads and receipt of shipments
- Process access requests and audit access control.
- Coordinate asset liquidation
- Liaison with property management on repairs, maintenance reporting and follow-up
- Maintain external vendor relations, assist with product delivery scheduling, and installs
- Provide on-site support for vendors or partners working within company spaces
- Ensure mail and package delivery processes are efficient and effective across campus including accepting receipt, sorting, and informing recipients of arrivals
- Share important facility related information to 40+ tenant representatives on a timely and efficient basis by managing a Teams site for the tenant representatives as a resource center containing guides, forms, floorplans, and other essential campus information
- Order and manage inventory of computer equipment such as peripherals, monitors, and docking stations for workstations
- Troubleshoot issues and report resolutions to clients on system updates accordingly
- Provide subject matter expert support to Cast
- Responsible for utilization reports and floor plan updates
- Support the resolution of identified facility safety related issues
- Assist Office Services & Work Flex Planning Manager on projects as needed
- Support campus special projects or events that require logistical planning and services (e.g., large celebrations or meetings)
- Support kitchen and office supply ordering and distribution of materials across campus
- Manage Office Services cost center SAP financial reports to track spending, analyze budget, and request for reclass of expenses when needed
- Experience supporting day-to-day office services, facility readiness, workstation setup, office moves, and employee move-ins
- Ability to coordinate office renovations, space planning, facility projects, vendor relationships, equipment installations, and project timelines
- SAP Experience
- Strong organizational skills
- Excellent interpersonal skills with the ability to support employees, leadership, property management, and external vendors while responding to requests in a timely manner
- Willing to assist with furniture movement, equipment setup, special events, after-hours projects, and other operational needs in a fast-paced office environment

- Pay Range: The approximate pay range for this position is between $18.00 and $21.00. Please note that the pay range provided is a good faith estimate. Final compensation may vary based on factors including but not limited to background, knowledge, skills, and location. We comply with local wage minimums.
